Roles, permissions, and collaboration settings for your team

ClearView is built for teams. Whether you have two founders or two hundred sales reps, the team management system gives you fine-grained control over who can see data, manage settings, and take action on leads. Every ClearView account is organized around a team, and each team can manage multiple sites under a single billing relationship.

Roles

ClearView has four built-in roles. Every team member is assigned exactly one role, which determines what they can see and do across the dashboard, API, and integrations. Roles are assigned at the team level and apply to all sites within that team.

Owner

The account creator. Full access to everything including billing, team deletion, and ownership transfer. There is exactly one owner per team. The owner role cannot be removed – only transferred to another admin.

Admin

Full access to all data and settings except billing and ownership transfer. Admins can invite and remove members, manage integrations, configure tracking, and access the API. Ideal for team leads and operations managers.

Member

Access to all visitor, company, and contact data. Can create outreach drafts, manage their own Watch List, and use the Chrome Extension. Cannot modify team settings, integrations, or invite new members. The default role for sales reps.

Viewer

Read-only access to the dashboard. Viewers can see companies, contacts, and analytics but cannot take actions like creating outreach drafts, exporting data, or modifying any settings. Ideal for executives or external consultants who need visibility without edit access.

Owner vs Admin

The key difference between Owner and Admin is billing access and destructive actions. Only the Owner can update payment methods, change the subscription plan, delete the team, or transfer ownership. If the Owner leaves the organization, they should transfer ownership to a trusted Admin before deactivating their account. Admins have no way to promote themselves to Owner.

Inviting Team Members

Owners and Admins can invite new members to the team. Invitations are sent via email and expire after 7 days. The invitee does not need a ClearView account – one will be created when they accept the invitation.

Open Team Settings

Navigate to Settings > Team in the dashboard sidebar. You will see a list of all current team members and their roles.

Click Invite Member

Click the "Invite Member" button in the top-right corner of the team list. A modal will open asking for the invitee's details.

Enter email and select role

Type the invitee's email address and select the role you want to assign. You can invite multiple people at once by adding comma-separated email addresses. All invitees in a batch receive the same role.

Send the invitation

Click "Send Invite". Each invitee will receive an email with a link to accept the invitation. The link takes them to a signup or login page depending on whether they already have a ClearView account.

Track pending invitations

Pending invitations appear in the team list with a "Pending" badge. You can resend or revoke an invitation at any time before it is accepted. Revoked invitations invalidate the email link immediately.

Email Preferences

Each team member controls their own email notification preferences. These settings determine which ClearView events trigger an email to that specific user. Available notification types include:

Hot lead alerts

Receive an email whenever a company reaches the Hot tier (score >= 70). Includes company name, domain, score, and a direct link to the dashboard.

Watch List alerts

Get notified when any company on your personal Watch List has a new visit. Includes the page viewed, visitor count, and session details.

Weekly digest

A summary email sent every Monday morning with top companies by score, new companies identified, and week-over-week traffic trends.

Tier change alerts

Notification when a company moves from one tier to another (e.g., cold to warm, warm to hot). Useful for catching sudden surges in interest.

Export completion

Notification when a large export job finishes processing. Includes a download link that expires in 24 hours.

To manage your preferences, go to Settings > Notifications. Changes take effect immediately. Admins can also set default notification preferences for new members at the team level under Settings > Team > Default Notifications.

Multiple Sites Under One Team

A single ClearView team can manage multiple websites. Each site gets its own tracking script (site key), its own set of identified companies, and its own lead scores. However, all sites share the same team members, roles, and billing account.

This is useful for organizations that operate multiple brands, product lines, or regional websites. Your sales team can switch between sites using the site selector in the top-left corner of the dashboard without logging into separate accounts.

How sites work

Each site has a unique site key used in the tracking script. Visitor data is isolated per site – a page view on Site A does not affect scores on Site B.

If the same company visits multiple sites, it appears as a separate record on each site with independent scoring. Cross-site analytics are available in the Cohort Insights view.

Team member roles apply across all sites. A Member role on the team gives access to all sites – you cannot restrict a member to a single site (use separate teams for hard isolation).

Billing is at the team level. Your plan quota (identified companies per month) is shared across all sites. Add more sites under Settings > Sites > Add Site.

Team Data Isolation

Data is fully isolated between teams. If your organization requires hard data boundaries between business units (for example, to comply with data processing agreements), create separate teams rather than separate sites within one team. Each team has its own API keys, integrations, and member list.

SSO & Enterprise Authentication

Teams on the Pro plan can configure SAML-based single sign-on (SSO) for automatic provisioning and de-provisioning of team members. When SSO is enabled, invitations are bypassed – users are added to the team automatically when they authenticate through your identity provider.
